Working Hours: 6-day work week, Monday to Saturday, 9:00am – 6:00pm

Role Overview

The Event Coordinator plays a central role in planning and executing events, ensuring that every activation runs smoothly from preparation to completion. This role involves coordinating logistics, liaising with clients and vendors, managing on-site crews, and supporting redemption and campaign activities.

Reporting to the Project Manager, the Event Coordinator works closely with internal teams — including Client Servicing, Operations, and Creative — while also managing external vendors and partners. The role requires adaptability, attention to detail, and the ability to balance both administrative and hands-on responsibilities.

Key Responsibilities

1. Event Operations & Deployment

  • Plan and coordinate the setup and tear down of roadshows, redemption campaigns, and events.

  • Manage logistics for equipment, fixtures, promotional materials, and event collateral.

  • Conduct site recces to assess layouts, power points, safety, and venue guidelines.

  • Prepare deployment schedules and operational checklists to ensure readiness.

  • Supervise contractors and vendors during installation and dismantling.

2. Client & Vendor Liaison

  • Serve as the key contact for clients during planning and execution.

  • Coordinate with vendors, suppliers, and contractors for manpower, fabrication, and printing.

  • Ensure deliverables meet client expectations and brand standards.

  • Negotiate with suppliers to achieve cost efficiency without compromising quality.

  • Build and maintain positive relationships with clients and external partners.

3. On-Site Management

  • Oversee deployment teams, including crew and promoters.

  • Troubleshoot operational issues to ensure smooth event flow.

  • Uphold professionalism and represent LeTrain as the on-site lead.

  • Conduct safety briefings and ensure compliance with venue regulations.

  • Adjust event execution in real time to enhance efficiency and engagement.

4. Campaign Support

  • Assist in planning and execution of redemption campaigns.

  • Manage prize fulfilment, redemption tracking, and reporting.

  • Support customer engagement activities such as games, contests, and product demos.

  • Monitor branding visibility and ensure consistency across event touchpoints.

5. Administration & Reporting

  • Maintain event checklists, manpower rosters, and vendor documentation.

  • Track event assets, consumables, and equipment usage.

  • Prepare post-event reports with photos, attendance data, and operational notes.

  • Provide recommendations for process improvements based on event learnings.

Requirements

Education & Experience

  • Diploma/Degree in Events Management, Marketing, Communications, or related field.

  • 1–2 years of experience in events, activations, or roadshows preferred.

  • Fresh graduates with strong organizational skills may also be considered.

Skills & Competencies

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal abilities.

  • Ability to multitask and work under tight deadlines.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

  • Familiarity with event layouts, floor plans, and basic AV setup is advantageous.

Work Environment

The Event Coordinator role requires flexibility. While office hours are 9am – 6pm, six days a week, events often involve early setups, late tear downs, and extended shifts. Travel across various venues in Singapore is routine, and coordinators must be comfortable working in both indoor and outdoor environments.

Teamwork is central to the role. Event Coordinators collaborate with colleagues across operations, design, and client servicing, while also engaging external contractors and suppliers. This mix of office-based planning and on-site execution provides exposure to the full event cycle.
